Job Qualifications

Reporting to the Trucking Operations Manager, you will learn the logistics of the recycling business. This role will be located at our New Westminster office. This is an on-site position and may allow some remote work.

Qualifications:

  • Meticulous attention to detail and accuracy.
  • Proven experience in Operations or similar role
  • Experience reconciling invoices, Purchase Orders & Work Orders.
  • Experience working with an online Maintenance Planning System is an asset.
  • Experience with Microsoft Office
  • Ability to meet tight deadlines.
  • Customer service oriented and demonstrated professionalism
  • Strong organizational and planning skills with the ability to work in a fast-paced team environment
  • Excellent communication skills, both verbal and written
  • Self-starter with ability to work independently and as part of a team
  • Ability to learn quickly and has excellent interpersonal skills
  • An open mindset with willingness to learn and adapt to a changing environment
  • Ability to establish and maintain effective working relationships
  • High Proficiency in English (both spoken and written)

Job Responsibilities

Purchase Orders

  • Issue and closing PO’s.
  • Future: Evolve into ordering all parts.

Reconciling invoices, Purchase Orders & Work Orders in online Maintenance Planning System

  • Add parts to database as needed.
  • Reconcile packing slip with invoice.
  • Allocate parts to the Work Order.
  • Sending the weekly Driver Trip Inspection Report.
  • Shop supply management (Shop supplies); maintains optimal levels to meet operational needs efficiently.
  • Ensure correct parts are received and in the correct quantity.
  • Facilitating Commercial Vehicle Inspections, as per process.
  • Deleting Driver Trip Inspection Reports with status of ‘pending’.

Scheduling & Operations

  • Create first draft of following week’s Driver’s schedule.

Communication & Training

  • Maintain Driver bulletin board with current information.
  • Maintain Communication Board including New Hire Welcomes, Anniversary Acknowledgement, relevant safety content repeating on the Communication Board to support learning.

Administrative Duties

  • Monitor Trucking email inbox as required, escalate to Manager as required.
  • Check inventory of operational supplies (bags, uniforms, bins etc.).
  • Manage key/fobs/clickers and Disposal site access cards.
  • Order supplies.
  • Move routes in routing software during statutory holiday weeks.
  • Assist Warehouse Material Handler-Trucking with preparation of equipment deliveries.
  • Calculate Driver productivity for upcoming Performance Reviews..
  • Assist Trucking Supervisor with filing ICBC claims and renewals.

Orientation for New Drivers

  • Administrative orientation for new Drivers.
  • Ensure all paperwork is completed for new hires.
  • Ensure tour of facility and payroll.

Safety Support

  • Participate in monthly inspections, complete Inspection Report.
  • Complete Month End Safety Reporting.

Return to Work & Light Duty Staff

  • Deliver Return to Work Offer to workers on modified duties (ensure they sign, scan paperwork to Manager).
  • Follow up with workers for their paperwork from medical appointments (receipts, forms).
  • Review each worker Return to Work plan and ensure that Urban Impact receives timely updates on worker’s status.
  • Ensure Manager is kept up to date.
